Overview

Homeowners often submit architectural requests for similar types of projects, such as fencing, exterior paint, roofing, or landscaping changes. Understanding what each type of request typically requires can help you prepare complete submissions and avoid delays in the review process.

Below are examples of common project types and what to include when submitting your request in the PayHOA portal.

Fence Installations or Replacements

When requesting a new fence or replacing an existing one, include:

  • A site plan showing the proposed fence location

  • Material details (wood, vinyl, aluminum, etc.)

  • Color or finish information

  • Height and style (for example, shadowbox, privacy, or picket)

  • Photos of the proposed area and sample product images

Most communities have specific guidelines on height, placement, and materials. Fences may need to remain within property boundaries and cannot obstruct drainage or utilities.

Exterior Painting

Before repainting your home, even with the same color, approval may be required. Include:

  • Paint manufacturer, color name, and code

  • Paint samples or digital swatches

  • Photos showing where each color will be applied

  • Indicate whether trim, doors, or shutters will differ in color

If your community has a pre-approved color palette, refer to it before submitting your request. This ensures compliance and faster approval.

Roof Replacements

Roof projects require prior approval to ensure color and material consistency throughout the neighborhood. Include:

  • Manufacturer and product name

  • Material type (asphalt, metal, tile, etc.)

  • Color name and sample photo

  • Warranty or product information, if available

Some communities have restrictions on certain roof materials or colors. Always include product samples to avoid delays.

Landscaping Changes

Approval is typically required for major landscape changes such as tree removal, new plant beds, retaining walls, or large decorative features. Include:

  • A drawing or plan showing proposed layout and plant types

  • Photos of the current area and design concept

  • Details for any hardscaping (pavers, edging, stones, etc.)

  • List of materials and colors

Minor maintenance, like replacing plants or reseeding grass, generally does not require approval. Check your community’s Architectural Guidelines to confirm.

Tips for Faster Approval

  • Include as many visuals as possible—drawings, photos, and samples make reviews easier.

  • Confirm that your project complies with community setbacks and easements.

  • Double-check all color codes and material names for accuracy before submission.

  • Respond quickly to any requests for clarification from the Property Support Team.
