Learn how to submit an architectural request for exterior improvements or changes to your property, what information to include, and how to track your request through the review process.

Last updated on 13 Nov, 2025

Overview

Most communities require prior approval for any exterior change to a property. This includes projects such as painting, fences, decks, roofs, or landscaping modifications. The architectural review process ensures all changes follow the association’s design standards, helping maintain the neighborhood’s appearance and property values.

All architectural requests are handled through your PayHOA homeowner portal and reviewed by the association’s Architectural Committee or Board of Directors.

When Approval Is Required

Approval is generally required for any modification that affects the exterior appearance of your home or lot, including:

  • Fences, sheds, decks, and patios

  • Roof replacements or new exterior materials

  • Painting or exterior color changes

  • Driveway or sidewalk replacements

  • Structural additions or modifications

  • Significant landscaping changes

If you are unsure whether a project requires approval, contact the Property Support Team before starting work.

How to Submit a Request

  1. Log in to your PayHOA homeowner portal.

  2. Select Architectural Requests from the left-hand menu.

  3. Click Submit a New Request.

  4. Complete all required fields and describe your project in detail.

  5. Upload supporting documents such as drawings, material lists, color samples, or photos.

  6. Click Submit Request.

Once submitted, your request will appear in your portal dashboard for tracking. You’ll receive email updates as it moves through the review process.

Required Information

To prevent delays, include as much detail as possible. A complete request should include:

  • A clear description of the project

  • Photos of the current area

  • Sketches, drawings, or plans (if applicable)

  • Paint or material samples

  • Estimated start and completion dates

Review Timeline

Most requests are reviewed within 30 days of submission, as required by your governing documents. The timeline may vary depending on the complexity of the project or if additional information is needed. You’ll receive written notice in the portal once a decision is made.

Fees

Some associations charge a small review fee for architectural requests. If applicable, this fee will be added to your homeowner account and payable through your portal once the request is processed.
