How Vendors Are Selected

The HOA follows a structured process when choosing vendors:

  1. Identify the Need: The management team or Board determines that a service, repair, or project is required.

  2. Obtain Proposals: Multiple bids are requested from qualified and insured vendors.

  3. Review and Compare: Proposals are evaluated based on cost, experience, reputation, and scope of work.

  4. Board Approval: The Board reviews recommendations and votes to select the vendor during a meeting.

  5. Contract Execution: Once approved, a formal contract is signed, outlining terms, payment schedules, and performance expectations.

Competitive Bidding

Most communities require competitive bidding for major projects or contracts exceeding a specific dollar amount. This ensures:

  • Fair and transparent selection

  • Competitive pricing

  • Qualified and licensed vendors

  • Accountability for contract performance

Routine services (like mowing or cleaning) may be renewed annually if performance remains satisfactory.

Vendor Management

Once hired, vendors are monitored by management to ensure compliance with the contract and community standards. The Board and management team review:

  • Homeowner feedback on service

Contracts are renewed, rebid, or terminated based on performance reviews and Board approval.

Insurance and Compliance

All vendors must carry appropriate insurance and licensing as required by state law and the association’s policies. Certificates of insurance are kept on file for verification and updated annually.

Reporting Issues

If you notice a problem with a vendor’s work or service (such as missed mowing, broken lights, or unfinished repairs), email homeowners@yourhoahelp.com.
Include your name, address, and a brief description of the issue. The management team will investigate and coordinate with the vendor as needed.
