Gate Codes, Fobs, and Keys

Overview

Many communities have controlled access systems such as gates, clubhouse doors, or pool entries. These systems may use gate codes, key fobs, or physical keys to maintain security and ensure only authorized residents can access shared amenities.

Your HOA Community Management, Inc. oversees access distribution and updates, working closely with the Board to ensure all requests are processed securely and accurately.

Requesting Access

If you are a new homeowner or tenant needing access credentials:

  1. Log in to your PayHOA homeowner portal.

  2. Submit a message under the Homeowner Contact Form or the Amenity Access Form.

  3. Include your property address, name, and type of access needed (gate code, fob, or key).

  4. The Property Support Team will verify your account and issue instructions for pickup, delivery, or activation.

Requests are typically processed within 3–5 business days, depending on community policy.

Replacement Fobs or Keys

If your fob, key, or access card is lost, damaged, or not functioning:

  1. Notify the Property Support Team immediately at homeowners@yourhoahelp.com.

  2. Include your property address and a brief description of what needs replacement.

  3. Replacement fees may apply to cover the cost of the new device.

Once payment (if applicable) is received, the new item will be activated or made available for pickup per your community’s procedures.

Gate Code Updates

Some communities periodically change gate codes for security reasons. Updated codes are distributed through:

  • Email notices from the management team

  • Mailings, if required by the Board

For security purposes, gate codes are not shared by phone. Always verify your identity when requesting updates or replacements.

Selling or Renting Your Property

If you sell or lease your home, all access devices (fobs, keys, and remotes) should be transferred to the new owner or tenant.
Homeowners are responsible for ensuring their access credentials are not shared outside authorized users.
